Privacy Policy – Sunny Days Nutrition

At Sunny Days Nutrition, we are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Privacy Policy explains how we collect, use, store, and protect your personal and health information when you access services at our practice.


1. What Information We Collect

We may collect and store the following types of information:

  • Your name, date of birth, contact details
  • Medical history and relevant health information
  • Lifestyle and dietary information
  • Medicare or private health fund details (if applicable)
  • Billing and payment information
  • Notes from consultations and communication

This information may be collected through intake forms, conversations, emails, or digital platforms.


Collecting Information from Other Health Professionals

With your consent, we may request relevant health information from your other healthcare providers (such as your GP, specialist, psychologist, physiotherapist, etc.) to ensure your care is well-informed, safe, and coordinated.

Any information collected from other providers will be:

  • Used only for the purpose of supporting your nutrition care
  • Treated with the same level of confidentiality and security as other client information
  • Stored securely in your client file

You may be asked to sign a consent form or provide written or verbal permission before we request or exchange any information on your behalf.


2. Why We Collect Your Information

Your information is used to:

  • Provide personalised nutrition and dietetic services
  • Assess your needs and monitor your progress
  • Communicate with you about appointments and care
  • Comply with legal, insurance, and professional obligations

We only collect information that is reasonably necessary for the delivery of dietetic services.


3. Data Storage and Security

Sunny Days Nutrition uses Practice Better, a secure practice management system, to store client records, health information, and appointment details.

Practice Better complies with relevant privacy and security standards and uses industry-standard safeguards, including encryption and access controls, to protect client information. While Practice Better may store data on secure servers located outside Australia, it takes reasonable steps to ensure personal information is handled in accordance with Australian privacy laws.

Your information is:

  • Stored securely on encrypted servers
  • Only accessible by authorised practitioners and staff
  • Regularly backed up and protected from unauthorised access

4. Use of Heidi AI

Sunny Days Nutrition uses Heidi AI, a secure Australian-based platform, to support clinical documentation and care planning. Only de-identified information is processed, and your privacy is protected in line with Australian regulations.

5. Disclosure of Your Information

We will not share your personal information without your consent, unless:

  • It is required or authorised by law
  • There is an immediate threat to your life, health, or safety
  • It is necessary to communicate with other healthcare providers involved in your care (with your permission)

If we need to refer you to another health professional or service, we will request your consent to do so.


6. Access and Correction

You have the right to:

  • Access your personal and health information
  • Request correction of inaccurate or incomplete records

Requests can be made in writing to sunnydnutrition@gmail.com. We will respond within a reasonable timeframe (usually within 30 days).


7. Electronic Communication

If you choose to contact us via email, SMS, or use Practice Better’s online booking, client portal, or messaging system, you acknowledge that while these tools are convenient, no system is completely secure.

We take reasonable steps to protect electronic communications and ensure Practice Better meets appropriate security standards.


8. Complaints

If you have concerns about how your information has been handled, please contact us first. We take all complaints seriously and will respond promptly.

Service Agreement

Sunny Days Nutrition – Service Agreement


Effective Date: 09/02/2026


This Service Agreement is made effective as of 09/02/26, by and between:

Sunny Days Nutrition

and you, the client.


1. Services Provided

The Dietitian agrees to provide professional nutrition services, which may include:

  • Comprehensive nutrition assessments
  • Personalised nutrition counselling and education
  • Meal planning and behaviour change support
  • Progress reviews and care plan adjustments
  • Telehealth appointments via secure video conferencing platforms

Services may be offered individually or as part of a package (as applicable) and are currently delivered via Telehealth.


2. Telehealth Services

  • The Client understands that Telehealth involves the use of electronic communications to provide nutrition care remotely.
  • Sunny Days Nutrition uses secure, encrypted digital platforms (including Practice Better) to protect confidentiality and privacy.
  • The Client agrees to participate from a private, quiet location and to have access to reliable internet and appropriate technology.
  • The Client acknowledges that Telehealth may involve limitations such as technical issues, interruptions, or delays and accepts these risks.
  • Telehealth services are delivered in accordance with applicable Australian laws, privacy requirements, and professional standards.


3. Scheduling & Cancellations

  • Appointments must be scheduled in advance and are confirmed via email or the online booking system.
  • A minimum of 24 hours’ notice is required for cancellations or rescheduling.
  • Cancellations made with less than 24 hours’ notice may incur a fee of 50% of the appointment cost.
  • Failure to attend an appointment without notice (“no-show”) will incur the full session fee.
  • The Dietitian reserves the right to reschedule appointments in the event of illness, emergencies, or technical difficulties.


4. Fees & Payment

  • Current fees are: 
    • Initial consultation: $240 (up to 90 minutes)
    • Review consultation: $150 (45 minutes)
  • Payment is due at the time of service via bank transfer or the nominated payment method.
  • Packages or bundled services may be offered at a discounted rate and must be paid in full prior to the first appointment.


Medicare rebates:

If eligible, the full consultation fee remains payable on the day. Clients are responsible for submitting claims directly to Medicare.


Private health insurance:

Clients may be eligible for rebates depending on their policy. A receipt will be provided for claiming purposes.


All fees are subject to change with reasonable advance notice.


5. Confidentiality & Privacy

  • All client information is treated as confidential and managed in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
  • Client records are stored securely using digital practice management systems (including Practice Better).
  • The Client consents to the collection, use, and secure storage of their personal and health information solely for the purpose of providing nutrition care, as outlined in the Sunny Days Nutrition Privacy Policy.


6. Scope of Practice

All services are provided within the professional scope of practice of an Accredited Practising Dietitian (APD), as governed by Dietitians Australia. This includes:

  • Evidence-based nutrition assessment, diagnosis, and intervention
  • Development of personalised nutrition care plans
  • Nutrition counselling and education
  • Dietary support for the management and prevention of health conditions
  • Collaboration with other healthcare providers where appropriate and with client consent

The Dietitian does not provide medical diagnosis or treatment outside this scope. Any concerns beyond scope will be referred to an appropriate healthcare professional.


7. Client Responsibilities

The Client agrees to:

  • Provide accurate information: including medical history, medications, lifestyle, and dietary habits.
  • Engage actively: understanding that outcomes vary and depend on individual circumstances, effort, and communication.
  • Respectful conduct: treating the Dietitian and any associated staff with respect. Abusive, threatening, or inappropriate behaviour will not be tolerated.
  • Confidentiality of materials: not reproduce, share, or distribute any resources, plans, or educational materials without permission.
  • Telehealth readiness: ensure a private environment and reliable internet connection for all Telehealth appointments.


8. Acknowledgement & Agreement

By booking an appointment online or engaging in services with Sunny Days Nutrition, the Client acknowledges that they have read, understood, and agreed to the terms of this Service Agreement and the Sunny Days Nutrition Privacy Policy.
